This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. 2. WHAT INFORMATION DO WE COLLECT?

 

We collect personal data as defined by applicable data protection legislation (‘personal information’). 

We collect information about: 

  • service users and beneficiaries
  • current and potential donors and supporters
  • Trustees
  • service providers and contractors

The personal information we collect might include name, email address, postal address, and telephone number and in some circumstances may include additional information from publicly available sources, or data that you have given to us. 

 

3. HOW DO WE COLLECT INFORMATION?

 

If you have made a financial donation to or otherwise supported the Trust, we will collect information about your donation history. 

If you have purchased goods from us, we will collect information about your purchase history. 

We may collect information that is available in the public domain, for example: newspaper or online media items, publicly available posts on LinkedIn or social media or Companies House listings. 

We record your requests for information and any feedback we receive from you. 

 

We obtain personal information from you when you use our website, enquire about our activities, register with us, send or receive an email, ask a question or otherwise provide us with personal information. 

We may also collect technical information relating to your use of our website, including your browser type or the Internet Protocol (IP) address used to connect your computer to the internet. 

We also gather general information about the use of our website, such as which pages users visit most often and which services, events or facilities are of most interest. We may also track which pages users visit when they click on links in emails. We may use this information to personalise the way our website is presented when users visit, to make improvements to our website and to ensure we provide the best service for users. Wherever possible we use aggregated or anonymous information which does not identify individual visitors to our website. 

We also gather information through CCTV, which is located on site and outside our premises, for the purpose of preventing and detecting crime. 

 

4. WHY DO WE COLLECT THIS INFORMATION?

 

We collect this information for the purposes set out in paragraph 5. The lawful basis for which we process your information is

  • processing is necessary for the performance of a contract to which you are a party. If you fail to provide this information we may be unable to perform the contract;
  • processing is necessary for compliance with our legal obligations; or
  • processing is necessary for the purpose of the legitimate interest pursued by us or a third party, except where your rights as a data subject override our legitimate interest.

 

5. HOW DO WE USE THIS INFORMATION?

 

We will use your personal information: 

  • to promote the aims of the Trust;
  • to provide you with products or information you have requested;
  • to better understand who our supporters and potential supporters are and what they may be interested in, to aid us in making appropriate fundraising approaches to those who will be most interested;
  • to provide you with information about future events and products we think may be of interest to you, [including third party events and products]; and
  • as part of our efforts to keep our site safe and secure; and to ensure that content from our site is presented in the most effective manner for you and for your computer.

We will only use your personal information for marketing purposes if we are allowed to do this by law or if we have your consent. If you agree to us providing you with marketing information, you can always opt out at a later date. 6. FUNDRAISING

 

The SS Great Britain Trust is a dedicated education charity that cares for Brunel’s SS Great Britain. The Trust relies on charitable support to preserve the SS Great Britain and Brunel’s legacy, and to help as many people as possible enjoy discovering them. 

Every year, we need to fundraise to deliver our charitable objectives. To make better decisions, communicate more effectively and develop a greater understanding of our supporters and potential supporters we may seek publicly available information to understand their engagement with the SS Great Britain Trust and their potential interest in supporting us further.  

This might include collecting publicly available information such as the individual’s previous interactions with the Trust, job title(s), details of offices held, place of business, business networks, information in relation to the individual’s career, educational history, hobbies and interests, residence locations, languages spoken, donations to other organisations, wealth and assets and family (not including information about children unless given personally or made public by the individual concerned). It might also include using trusted third-party partners that can help us to research individuals and organisations that might want to support the Trust and its charitable activities. We may also use publicly sourced images to help identify individuals who attend our events. 

We may use a variety of sources to obtain such information, including places such as newspaper websites and archives, housing market websites, the electoral roll, official websites of companies, charities and other organisations, Companies House, Charity Commission, and other charity registers, Who’s Who, geographic and demographic information based on postcodes, 192.com and Google.  

This enables us to identify shared interests and connections and make appropriate invitations and fundraising approaches to those who may be able and willing to support the Trust, aiding us in our fundraising and helping the Trust to achieve its charitable objectives. As a charity, we believe that this in the legitimate interest of our fundraising needs.  

Due diligence research 

The Trust may carry out due diligence on individuals and organisations before it seeks or accept major donations to ensure compliance with legislation, financial rules, international agreements, and guidance from statutory bodies and its own Ethical and Fundraising policies, to protect it from reputational risk, as required. These legal and regulatory obligations mean that if you object to analysis of your data for the supporter research purposes detailed above, we may still conduct some required due diligence research in order for us to accept donations from you. 

 

7. DO WE SHARE YOUR INFORMATION WITH ANYONE ELSE?

 

We may need to provide your information to our contractors and suppliers who provide services on our behalf, to the extent necessary to enable you to receive those services. 

If you make a payment or donation to us we will need to share your information with our payment processor. By paying via our payment processor you agree to accept their terms and conditions for the use of their services, including their privacy policy. We suggest that you read their privacy policy when using their service as we are not responsible for data you share with them. 

We may from time-to-time use trusted third-party partners that can help us to research individuals and organisations that might want to support the Trust and its charitable activities.  

We may also need to disclose your information if required to do so by law or as expressly permitted under applicable data protection legislation. 

Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites. 

We may securely share website analytics and marketing data with Google and Facebook.

8. HOW LONG DO WE KEEP YOUR INFORMATION FOR?

 

We keep your information for no longer than is necessary. We will retain your information for any period required by law, for example for compliance with HMRC requirements. Where we are not under a legal obligation to retain your information, we will determine what is necessary by reference to the lawful basis for processing set out above and our legitimate interests.

9. HOW DO WE PROTECT PERSONAL INFORMATION?

 

We take appropriate technical and organisational measures to ensure that the information disclosed to us is kept secure, accurate and up to date and kept only for so long as is necessary for the purposes for which it is used. 

[We use a secure service when you make a payment through our website, via a virtual gateway operated by Worldpay. Our online payment system is Payment Card Industry Data Security Standard compliant.] 

You should be aware that the use of the Internet is not entirely secure and although we will do our best to protect your personal data we cannot guarantee the security or integrity of any personal information which is transferred from you or to you via the Internet. Any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features such as encryption to try to prevent unauthorised access. 

 

10. YOUR RIGHTS

 

You have a right to ask us to confirm whether we are processing information about you, and to request access to this information (‘right of access’). 

You may ask us, or we may ask you, to rectify information you or we think is inaccurate, and you may also ask us to remove information which is inaccurate or complete information which is incomplete (‘right to rectification’). You should note that we are entitled to and reserve the right to retain your data for statistical purposes.   • you contest its accuracy and we need to verify whether it is accurate
